VibeVox is a Windows dictation app built to keep your words on your machine. This page describes what the app does with data, in plain language.
Speech stays on your device
Speech recognition runs entirely on your computer, using local models. Your audio is never uploaded anywhere. When a recording ends, the audio is discarded — only the recognized text remains.
When text leaves your device
Only if you turn on AI translate / rewrite. In that case the recognized text is sent to the AI provider you configured with your own API key, under that provider's terms. During the beta, VibeVox may also offer a built-in AI service; when it is available and you use it without your own key, the text is relayed through our server to the AI provider and is not stored by us. With AI features off, nothing leaves your device.
The clipboard
To paste a dictation into the window you are working in, VibeVox puts the text on the Windows clipboard and marks it so that Windows leaves it out of clipboard history (Win+V) and does not sync it to your other devices through cloud clipboard. Text that VibeVox leaves on the clipboard for you to paste yourself — for example when a dictation could not be pasted — is an ordinary copy, and Windows treats it like any other.
Identifiers
The built-in AI service uses a one-way salted hash of a Windows machine identifier. It keeps usage fair between users, and once paid licences are switched on it is also what ties a licence to the computers it has been activated on. It cannot be reversed into your identity, and it is not used to track you or to build a profile of you. To keep usage fair, our server counts how much of the AI service each licence — or, without a licence, each computer — uses in a calendar month: how many words were sent, how many requests were made and what they cost. These counts are stored by our database provider Supabase in the EU (Ireland) and never contain the text itself. The update check requests a static version file and sends no identifier at all.
Dictation history
History is off by default. If you enable it, transcripts are stored in plain text on your own computer (in your user profile folder), with a retention period you control, and never leave your device. You can view, delete, or clear them at any time in the app.
Logs and diagnostics
The app writes technical log files that never contain dictated text — only timings, counts, and error information. The “Save diagnostics file” button in Settings packages exactly those logs plus basic environment facts (app version, Windows version, interface language). It never includes your history, your configuration, or any machine identifier. Nothing is sent automatically; you choose whether to share the file.
Support
If you contact us through the support form, we use your email address only to reply to you. Any file you attach is stored together with your message by our forms provider (Netlify) and is used only to answer you; we delete messages and their attachments once the matter is settled. A diagnostics file from the app contains only technical logs and environment facts — never your dictated text.
The launch notification list
If you ask to be told when Pro launches, we keep the email address you gave us, the interface language you were using and which plan you asked about. We use it for that one message and nothing else. We do not sell it and we do not pass it on. You can ask us to delete it at any time through the support form. The form is hosted by Netlify, which stores the submission on our behalf.
Buying
Payments are handled by Paddle, which acts as the seller on the transaction and as an independent controller of the data it collects, under its own privacy policy. Your card details go to Paddle and never to us — we neither see nor store them. From Paddle we receive what we need in order to issue and check your licence: the order and what was bought. Paddle also passes us the email address you used at checkout, and we use it to send your licence key and to answer you about your order. At checkout there is also a tick box asking whether we may email you about product updates. It is off unless you tick it, it is not needed in order to buy anything, and every such email carries an unsubscribe link.
Cookies
This site sets no cookies and runs no analytics that could identify you. If you pick a language in the menu, that choice is kept in your browser's local storage, on your own device, and is sent nowhere; nothing is stored until you choose. While you buy, the plan you picked is kept in the browser tab until the thank-you page. The checkout itself opens in a window served by Paddle, which uses its own cookies there under its own privacy policy. The page-speed measurements our hosting provider collects are aggregated and use no cookies.
Your data and your rights
The data described on this page is controlled by ALEXEEV DIGITAL LAB, a Norwegian sole proprietorship (enkeltpersonforetak), organisation number 927 707 063, Norway. You can ask us what we hold about you, ask for it to be corrected, or ask for it to be deleted — write through the support form and we will answer. If you believe we have handled your data wrongly, you can complain to the Norwegian Data Protection Authority (Datatilsynet), or to the supervisory authority of the EEA country where you live.
Beta software
VibeVox is beta software, provided as-is, without warranty. Things can break; the support form is the fastest way to tell us when they do.
